Warranty Claim Handling Cost Calculator

Reviewed for 2026, updated September 8, 2026.

Estimates the agent hours, labor cost per claim and headcount a hardware brand spends handling warranty claims, and what trimming minutes off each claim would save per year.

Your estimate

Agent hours on claims per month...
Labor cost per claim...
Agent headcount equivalent...
Annual labor savings at target time...

Estimates only. Assumptions are listed below, and you can change every input.

The cost of a warranty claim is not just the replacement part. Someone has to find the proof of purchase, check the serial number, open a case, chase the customer for photos, update them twice and close the file. Those minutes add up quietly, and most support leads cannot say what one claim costs in labor or how many agents the claim queue really consumes.

This calculator takes your monthly claim volume and the minutes spent per claim on intake and follow-up, then converts them into monthly hours, labor cost per claim and the equivalent number of agents. Enter a target handling time and it shows the annual labor savings from getting there. It measures agent time only: parts, shipping and software costs are not included, and it does not assume any specific tool delivers the target time.

How to use this tool

  1. Enter how many claims your team receives in a typical month.
  2. Split the time spent per claim into intake and verification versus follow-up and closing, then enter your fully loaded hourly agent cost.
  3. Set a realistic target for total minutes per claim and read the cost per claim, headcount equivalent and annual savings.

What the math assumes

  • Assumes every claim takes the same number of minutes; real queues have a few very long cases that pull the average up.
  • Assumes the hourly cost you enter is fully loaded, so it already includes benefits, payroll taxes and tooling.
  • Counts agent time only; parts, replacement units, shipping and software subscriptions are not included.
  • Assumes savings scale linearly with minutes saved, and that freed-up hours are actually redeployed or not hired for.
  • Uses 12 months of the current monthly volume for the annual savings figure, with no seasonal variation.

Frequently asked questions

How do I measure minutes per claim without a time study?

Pick twenty recent claims and add up the touches on each: reading the email, looking up the order, replying, updating the case. Most teams find that follow-up outweighs intake.

Why does the calculator ask for productive hours instead of a full month of paid hours?

Agents do not spend every paid hour on cases. Using productive hours gives a truer headcount equivalent, so you can see whether the claim queue is really consuming one full agent or half of one.

Does a lower target time mean worse customer service?

Not necessarily. Many handling minutes are spent asking customers for information you could have collected at registration or in a structured claim form, so a shorter handling time often means fewer back-and-forth emails for the customer too.
